Kindred Spirits: Submission Mailing Instructions

Getting your Submission Ready to Send

Along with your submission, you will need to include a Kindred Spirits Submission Form (1 page PDF).

This form includes your name, address, a description of the work (materials, dimensions, structural details, etc.); and a statement on why/how your work honours the legacy of Lucy Maud Montgomery. This statement is important as it will assist jurors with their deliberations. Should your submission be selected for the exhibition, the information from this form will be used for the exhibition catalogue.

Print the form, complete it, and include it with your submission.

Submission Deadline & Mailing Instructions

Mailing Address  

Upon receipt of the registration fee, participants will receive the address where submissions are to be shipped for judging.


Mailing Deadline

Submissions must arrive at the judging destination no later than April 1, 2024. Each participant is responsible for taking into account transit time from their location and for mailing the submission in sufficient time to meet the deadline.


Special Packing & Mailing Instruction

  • Submission to be securely wrapped to prevent any damage in transportation
  • Follow mailing instructions according to your country of origin. (See Canada, USA, and International Mailing Instructions below)
  • Use bubble wrap as filler
  • Use postal service only, e.g. Canada Post or USPS. Do not use courier services
  • For submissions originating from outside Canada (e.g. USA, international locations) CBBAG will not be responsible for any customs, duty, or brokerage fees. It is the responsibility of USA and International participants to ensure such charges are pre-paid

Canadian Mailing Instructions

  1. For submissions originating from within Canada, participants must follow the steps below. CBBAG will be re-using the Flat Rate box for the return of your book object, so please follow these instructions precisely:
  2. Place submission plus Kindred Spirits Submission Form into a Canada Post Flat Rate box – extra-small or small size only, whichever size best matches the size of the object. If needed, use bubble wrap as box filler
  3. Complete the “To:” portion of the shipping address label on the Flat Rate box with your address. (Leave the “From:” portion blank - we will complete that when your item is returned to you.)
  4. Permanently seal one end of the Flat Rate box
  5. Use strong tape to secure the opposite end of the Flat Rate box – do not permanently seal that end
  6. Wrap the Flat Rate box with durable brown or kraft paper
  7. Address the paper-wrapped box according to the instructions you received when you registered
  8. Take the wrapped Flat Rate box to your local post office and mail it
  9. After your submission has been mailed, send a confirmation email along with the tracking number to the Exhibition Coordinator. (See Contact Info below)
  10. After the exhibition closes, CBBAG will use the Flat Rate box you supplied to return the submitted work to you. This means you will have:
  • paid for one flat rate box that will be used to return your project to you
  • additionally paid to send the wrapped box for jury consideration

This covers your responsibility for the “to and from postage” requirement for the exhibition.


Important: CBBAG will re-use this Flat Rate box when returning your book object to you. It is essential that you only use this method for shipping your submission. If other boxes or shipping methods are utilized for Canadian submissions, your project will be refused and marked Return to Sender.


USA Mailing Instructions

For submissions originating from the USA, participants must follow these steps:

  1. Place submission plus Kindred Spirits Submission Form into a USPS Flat Rate box, whichever size best matches the size of the object, but not to exceed the size and weight parameters for the exhibition (dimensions: 14” x 10 3/8” x 2 1/8” / 35cm x 26cm x 5cm; weight: 11 lbs/5kg)
  2. Use bubble wrap as box filler
  3. Ensure all flaps of the box have been well sealed
  4. Address the box according to the instructions you received when you registered
  5. Take the Flat Rate box to your local post office and mail it
  6. After your submission has been mailed, send a confirmation e-mail along with the tracking number to the Exhibition Coordinator. (See Contact Info below)
  7. After the exhibition closes, participants will be sent an e-invoice for return postage. Once that invoice has been paid, the work will then be returned to the participant

International Mailing Instructions (other than USA)

For submissions originating from international locations other than the Canada or USA, participants must follow these steps:

  1. Place submission plus Kindred Spirits Submission Form into a box, of size that best matches the size of the object, but does not exceed the size and weight parameters for the exhibition (dimensions: 14” x 10 3/8” x 2 1/8” / 35cm x 26cm x 5cm; weight: 11 lbs/5kg)
  2. Use bubble wrap as box filler
  3. Ensure the box has been well sealed, and securely wrapped to withstand international transit
  4. Address the box according to the instructions you received when you registered
  5. Take the box to your local post office and mail it
  6. International transit times can be lengthy. It is the responsibility of international participants to mail their submissions early to ensure they arrive by the April 1, 2024, deadline
  7. After your submission has been mailed, send a confirmation e-mail along with the tracking number to the Exhibition Coordinator. (See Contact Info below)
  8. After the exhibition closes, participants will be sent an e-invoice for return postage. Once that invoice has been paid, the work will then be returned to the participant.
